Description :

Our client in State College is searching for an Executive Assistant.  This is a direct hire opportunity.

 

POSITION SUMMARY

 

Conserve the CEO's time and promote the corporate image by representing the CEO internally and externally; provide liaison between the President, key executives, and employees.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

 

  • Maintain and protect operations by adhering to strict confidentiality.
  • Conserve the CEO's time by reading, researching, and routing correspondence; drafting letters, documents, presentations; collecting and analyzing information; preparing CEO with background for upcoming meetings and initiating telecommunications.
  • Represent the CEO by reviewing correspondence, arranging company dinners and other corporate functions, answering questions, and meeting requests directed to the CEO.  Coordinating internal calls and meetings between the CEO and other executives.
  • Arrange corporate travel and meetings by developing itineraries and agendas, scheduling the corporate jet (if time issues/urgency require), booking other transportation, and arranging lodging and meeting accommodations based on a detailed understanding of private and professional preferences.
  • Complete projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving, and adjusting plans.
  • Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Represent executives by attending meetings in the executive's absence and maintaining communication for the CEO's vision.
  • Welcome guests and customers by greeting them, in person or on the telephone, and answering or directing inquiries.
  • Serve as Recorder/Secretary for the Executive Management Team meetings. Ensure team members receive reports in a timely manner. Proof-read executives' reports as requested.
  • Create and verify monthly expense reports for the CEO, and other managers as requested.
  • Check all expense reports for accuracy before approvals.
  • Secure information by completing data base backups.
  • Maintain professional and technical knowledge by reviewing professional publications, establishing personal networks, and participating in professional societies.
  • Complete additional duties and responsibilities as assigned.
  • Provide personal assistance to the CEO in a variety of duties, as requested.
    • Maintain checking account for CEO, working with his private accountant and the Company's Chief Financial Officer.
    • Send quarterly tax payments for CEO.
    • Collect and deliver income tax information for the CEO to their private accountant.
    • Help manage CEO's personal calendar, in conjunction with his company obligations, including reserving personal and family activities.
    • Support the CEO with local errands, including coffee, lunch and various other needs.

EDUCATION, KNOWLEDGE, AND EXPERIENCE

 

  • Bachelor's degree in Business Management or related field preferred.
  • 3-5 years' executive assistance experience required,
  • Extensive knowledge of MS Office, with the ability to provide well written reports and presentations.
  • Significant and relevant business experience, Venture Capital or Private Equity experience preferred.
  • Extensive experience in travel, passport and itinerary coordination.
  • Proven relationship management skills, both internal and external.
